a)Memo
As the summer children’s party coordinator for your company, you need to recruit 10 volunteers to organize the day at Santa’s Village. Here are the relevant details:
Tickets for the event will be available May 1-5 and sold daily in the lunchroom. Volunteers will need to email their availability to sell them between 12-2 p.m.
On the day of the party, May 15, volunteers will need to sign up to decorate and set up the food tent and act as hosts for the families in preparation for the event. The catering department is looking after the rest of the arrangements.
As an incentive, you have arranged a luncheon on May 16 for the volunteers. They need to RSVP.
Write a memo, using appropriate memo headings, to inform your colleagues of the details and persuade them to take part in this worthwhile project.
b)Business Letter
You work in Client Services for the car rental company SuperDrive. Write a reply letter in response to the customer letter below. Offer the customer a refund for $60.00; however, he must forward the gas receipt from the fuel company to receive the money.
Dear Customer Service:
I don’t think I should be charged for the malfunctioning gas gauge on my rental car! I rented the car from your company last week and had to drop it off at the airport prior to your office opening on Monday morning. When I picked up the car, the gas gauge read ¾ of a tank, the amount required for a returned vehicle as per your contract. However, I went to the gas station to fill the rest of the tank as I had a long drive ahead of me. The tank took in $80 worth of fuel! That means the tank was nearly empty when I received the car.
I returned the car with ¾ of a tank of gas as I kept track of my mileage and the amount of gas I was using. However, you should not charge me for the initial filling of the tank when it is your responsibility to provide gas in the car. Please refund me the cost of ¾ of a tank of gas, $60.
I understand these things happen, but I want don’t want to pay for an issue with a car I don’t own!
